Reports to: President & Founder (with dotted line reporting to Project Leads as assigned) Location: Remote. The role requires domestic and occasional international travel. Employees must reside within a reasonable distance of a major airport to enable timely and cost-effective travel for client projects and company events. POSITION SUMMARY The Associate Manager plays a key role in delivering corporate conferences, events, and experiences for Harris House clients. This role supports the planning and execution of complex programs to ensure all components are delivered to the highest standards of quality and client satisfaction. The ideal candidate is a proactive generalist with a strong project management mindset, able to balance multiple priorities while maintaining exceptional attention to detail. KEY RESPONSIBILITIES Facilitate and oversee event planning services across all phases of the planning process, from ideation through execution. Coordinate and manage services such as venue sourcing, general layouts, AV needs, dcor, and event branding/graphics. Own and execute select event components (e.g., receptions, team-building activities, transportation, and VIP management). Coordinate food and beverage (F&B) logistics including menu planning, dietary accommodations, and onsite service execution. Manage registration, participant communications, and hospitality functions including room block management, website setup, and onsite check-in. Maintain and update project management tools including timelines, deliverables, budgets, and reconciliation trackers. Schedule and document project meetings, including drafting agendas, taking notes, and circulating follow-up actions. Facilitate communication among clients, vendors, and internal stakeholders to ensure clarity and accountability. Prepare and maintain project documentation, decks, and onsite operation plans to support execution excellence. Play an active role in site visits and long on-site event delivery (5+ consecutive days, 10+ hours), serving as a right-hand to Project Leads. Foster positive and productive client, partner, and vendor relationships, ensuring all stakeholders feel supported and valued. Collaborate cross-functionally to deliver high-quality work that aligns with Harris House standards. General Administration & Reporting Ensure accurate documentation, project organization, and adherence to company standards. Track and submit timesheets and resource logs in a timely, detailed manner. Communicate progress, risks, and needs proactively to direct and dotted line reports. Support special projects or internal initiatives as assigned.
