NCSY inspires Jewish teens through informal Jewish education, retreats, and summer programs. NCSY empowers teens through leadership development and guidance to become passionately committed leaders of the Jewish community and instruments for positive change and renewal.

The Orthodox Union (OU) is one of the largest Orthodox Jewish organizations in the United States. Founded in 1898, the OU supports a network of synagogues, youth programs, Jewish and Religious Zionist advocacy programs, programs for the disabled, localized religious study programs, and international units. The OU maintains a kosher certification service, whose circled U symbol is found on the labels of many kosher commercial and consumer food products.

Position Summary: Tri s tate NCSY and NCSY Summer are seeking a highly organized, detail-oriented, and discreet professional to serve as Executive Assistant and Office Manager. This full-time role sits at the center of our operations, supporting senior leadership, strengthening donor engagement, and ensuring the smooth execution of major programs and events.

This individual will work closely with the Executive Director of Tri s tate NCSY, who also serves as the Associate Director of NCSY Summer, to help manage both Tri s tate and summer-related responsibilities.

This is a full-time hybrid role requiring 3 days a week in the office and 2 days remote, with flexibility based on organizational needs and events.

Executive Support And Scheduling

  • Manage and maintain the calendar of the Executive Director, ensuring efficient scheduling and prioritization
  • Coordinate and schedule donor meetings, including preparation and follow-up
  • Anticipate needs and proactively manage time, materials, and logistics for leadership
  • Work with the Director of Development in supporting any development-related campaigns or projects
  • Manage receipts, travel, and other logistical needs.

Donor Relations And Engagement

  • Support ongoing donor relationship management, including communications, tracking, and follow-up
  • Help ensure a thoughtful and organized donor experience across all touchpoints
  • Assist in preparing materials and logistics for donor-facing meetings and events

Event Logistics And Operations

  • Provide logistical and operational support for major programs and events, including 4G C on, Summer Staff Training, NCSY Golf Classic, Six Flags, and any event with donor presence
  • Coordinate details such as travel, scheduling, materials, and on-site execution
  • Work closely with program teams to ensure events run smoothly and professionally

Office Management

  • Oversee the day-to-day operations of the NCSY office located in Teaneck, NJ
  • Manage office supplies, organization, and overall physical space
  • Serve as a central point of coordination for in-office needs and logistics

Cross Organizational Support

  • Provide support to other executive staff as needed
  • Help ensure alignment and communication across Tri s tate and NCSY Summer operations

Qualifications:

  • 5 plus years of relevant experience in administration, operations, or a similar role preferred
  • Exceptional organizational and time management skills
  • Strong interpersonal skills with the ability to engage donors and stakeholders professionally and warmly
  • High level of discretion and ability to handle sensitive information
  • Detail-oriented with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • Proactive, flexible, and solutions-oriented mindset
  • Experience in nonprofit settings preferred

Salary & Benefits:

The salary range for this position is $70,000 - $80,000, commensurate with experience.
