Receptionist/Administrative Assistant

The Receptionist/Administrative Assistant serves as the first point of contact for the firm, providing a professional and welcoming experience for clients, visitors, callers and staff. This role supports daily office operations by managing front-desk activities while also coordinating inbound and outbound shipments related to engineering projects, office supplies, and technical documents. The ideal candidate is organized, courteous, detail-oriented, and comfortable balancing administrative and logistical responsibilities in a professional engineering environment while maintaining a customer-service mindset and a professional demeanor.
Core Responsibilities for the Role
Receptionist & Front Desk
- Greet visitors, clients, and vendors in a professional and friendly manner
- Answer and route incoming phone calls; respond to general inquiries
- Receive, sort, and distribute mail and deliveries
- Maintain a clean, organized, and professional reception area
- Coordinate visitor access, meeting room reservations, and office calendars
- Provide general administrative support to office staff as needed
- Shipping & Receiving
- Receive, log, and distribute incoming shipments, including plans, project materials, equipment, and supplies
- Prepare outgoing shipments using courier services (FedEx, UPS, USPS, freight, etc.)
- Package documents and materials securely
- Track shipments and resolve delivery issues with carriers
- Maintain shipping records, tracking numbers, and delivery confirmations
- Coordinate with project teams and internal departments to ensure timely and accurate delivery of materials
Administrative Support
- Assist with document scanning, copying, filing, and data entry
- Support project documentation and processes as directed
- Follow company policies for record retention, confidentiality, and safety
Qualifications, Skills, and Competencies:
Education/ Skills
- High school diploma or equivalent required; additional administrative training preferred
- 2+ years of experience in a receptionist or administrative support role
- Experience with shipping and receiving or logistics coordination preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Strong verbal and written communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple tasks and prioritize effectively
Physical & Work Requirements
- Ability to lift and move packages up to approximately 3040 lbs
- Ability to sit, stand, and walk throughout the workday
- Comfortable working in an office environment.
